How to respond to negative Google reviews (with replies you can adapt)

A bad review isn’t the end of the world. A bad reply, or no reply at all, can be. Here’s a simple structure for responding, plus examples you can adapt.

Every business gets a bad review eventually. A missed call, a long wait, a misunderstanding, or sometimes a customer who was simply having a terrible day. You can’t control that.

What you can control is the reply. And here’s the part most owners miss: your reply isn’t really written for the angry reviewer. It’s written for the hundreds of people who will read it later while deciding whether to trust you.

Why replying matters

When someone reads a negative review with no response, they fill in the blanks themselves. Usually they assume the worst: nobody cares, nobody is listening, nobody will help if something goes wrong.

A calm, professional reply changes that story. It shows that a real person is paying attention and takes problems seriously. Google’s own guidance for business owners encourages replying to reviews, and it’s one of the simplest things you can do to build trust.

A simple structure that works

Keep it short. Four parts are enough:

  1. Thank them. Even when it stings. "Thank you for taking the time to share this."
  2. Acknowledge the experience. Not the facts, the feeling. "We’re sorry this visit didn’t meet your expectations."
  3. Show what you’re doing about it. Only if it’s true. "We have shared this with our front desk team."
  4. Take it offline. Give a name and a direct way to reach you. "Please call our office manager, Dana, at (555) 010-0199 so we can make this right."

That’s it. No paragraphs of explanation, no defending yourself line by line.

Examples you can adapt

For a missed call or slow response:

Thank you for letting us know, and we’re sorry you had trouble reaching us. That’s not the experience we want for anyone. We have reviewed how calls are handled during busy hours. Please reach out to Dana directly at (555) 010-0199 so we can help.

For a complaint about service:

We’re sorry to hear this, and we appreciate you telling us. We take feedback like this seriously and have shared it with our team. We’d like to learn more and make it right. Please contact our manager, Sam, at the number on our profile.

For a review you believe is unfair:

Thank you for your feedback. We were not able to match this experience to our records, but we take every concern seriously. Please contact us directly so we can look into it.

Notice what that last one doesn’t do: it doesn’t call the reviewer a liar. Readers can tell when a business is defensive, and it never helps.

What never to say

  • Never argue in public. Even if you’re right, you lose.
  • Never share private details. This matters everywhere, and it’s critical in healthcare, where a reply must never confirm that someone is a patient or resident.
  • Never copy and paste the same reply to every review. People notice, and it reads as if nobody actually read their review.
  • Never offer something in exchange for removing or changing a review. It breaks Google’s policies.

Don’t forget the good reviews

Positive reviews deserve replies too. A short, specific thank-you ("So glad the team made your first week easier. We’ll pass this along to them.") shows that you read every review, not just the ones that hurt.

Can you get a bad review removed?

Only Google can remove a review, and generally only when it violates their policies. Examples include spam, conflicts of interest, or offensive content. If a review clearly breaks the rules, you can flag it through your Business Profile. For everything else, a thoughtful reply is your best tool.

Make it a habit, not a scramble

The businesses with the best reputations aren’t the ones that never get criticized. They’re the ones that respond consistently, within days, every time. If that keeps slipping down your to-do list, that’s exactly the kind of thing Brandwagon Digital handles for you, in your voice and with your approval.
